Steps on how to void and remove AP checks in Sage 100
There may be times when you need to void a check in Sage 100, perhaps a printing error occurred, a check was issued for the wrong amount, or you simply need to remove it from your records. Fortunately, Sage 100 provides multiple ways to handle this task within the Accounts Payable module.

There are two different ways that a check can be voided in Sage 100. Using the Manual Check and Payment Entry option, and through the Check Printing and Electronic Payment process.
Void a check by Manual Check Entry.
- Accounts Payable > Manual Check and Payment Entry
- Select the Bank Code for the account the check was written form.
- Enter the check number you wish to void.
- When prompted “Is this a check reversal?”, click No.
- The screen will appear blank, click Accept.
- A new message will appear, Click Yes to void the check.
- Accounts Payable > Manual Check and Payment Register
- Preview the register to confirm the voided check is listed.
- When ready, update the register and the Daily Transaction Register.
- Accounts Payable > Accounts Payable Check History Report
- Launch the Accounts Payable Check History Report to provide the report selection:
- Make sure that all the Payment Types to Print are unchecked except the “Voided Checks” – This will only print voided checks within the Option Settings and Selection Criteria.
- If you would like to get a PDF of the Report, there are two different ways to do this. First, change the printer to a PDF printer or click on the Preview button and then export the Crystal Report file.
- Export the preview to a PDF file.
- Close the Accounts Payable Check History Report.
The other way to void a check is done when running the “Check and Electronic Payment Processing”.
The situation is that the user has printed the checks, but the printer jammed or say the checks printed upside down. So, the user has to print the same checks again but this time they will be on different check numbers.
Voiding Checks from Check and Electronic Payment Processing.
- Accounts Payable > Check and Electronic Payment Processing
- Check the Print Checks Already Printed box, select Print.
- Message will pop up about printing the Check Register, select Yes.
- Message pop up about Daily Transaction Register.
- Preview of the Register.
- View the Accounts Payable Check History Report to view voided checks.
In Sage 100, there is a way to remove voided checks from Accounts Payable Check History.
Removing Voided Checks.
- Accounts Payable > Utilities Menu > Remove Voided Checks.
- The Remove Voided Checks selection screen will be displayed.
- This user will be able to select the Bank Codes Starting and Ending Range of Accounts to remove the Voided Checks.
- Also, the user can choose the Starting and Ending Check Number, and the Remove Voided Checks will check the selected bank code range and the selected check number range for voided checks that will be removed.
- Click on the “Proceed” button to run the process.
- The user will be prompted to verify that the selected criteria is correct and if the process should continue.
- Once the user clicks “Yes” then the Voided Checks would be removed from Check History.
- When the process is complete the program will just close.
