Steps to build a custom user permission report in Sage Intacct.
Reviewing user permissions is an essential part of maintaining strong internal controls. Whether you’re preparing for an audit or simply conducting routine monthly, quarterly, or annual reviews, gathering permission details for multiple users can be time-consuming.
Sage Intacct’s Custom Report Writer allows you to build a consolidated report showing all users, roles, and assigned permissions in one place. This tip walks you through the step-by-step process of creating a reusable User Permissions Report.

How to Review Users and Verify Role-Based Permissions:
- Company > Admin > Users.
Note: If you have four or more users, DWD recommends enabling Role-based Permissions instead of assigning permissions individually. This can be turned on under Company Setup.
- Once enabled, each user will display a View Permissions and Roles.
- You may expand an individual user’s Permissions Report, Roles, or User Groups.
While this works for a single user, repeating the process for many users becomes inefficient. Creating a custom permissions report solves this issue.
How to Begin Building a Custom User Permissions Report:
- Company > Platform Services > Custom Reports.
- Click Add to create a new Custom Report.
Report Wizard Steps:
Step 1: Primary Data Source – ‘Role Users’.
Step 2: Add columns to the report (see step 4 for the recommended fields).
Step 3: Add calculated columns – Not Applicable.
Step 4: Order the data columns in a way that structures the data.
Step 5: Add more column totals – Not applicable.
Step 6: Set column priority, then choose ascending or descending (see below).
Step 7: Filter your report – Not Applicable unless desired.
Step 8: Group data – turn it on to ‘Grouping’.
Step 9: Group data by column using ‘user ID’.
Step 10: Order the groups – Not Applicable
Step 11: Set the title or footer – Optional
Step 12: Define output for chart display – Not Applicable
Step 13: Include additional prompts – Optional. I added the user ID.
Step 14: Label and organize prompts – Optional
Step 15: Save and (optionally) add to a menu.
This report can be exported as a spreadsheet or document to assist with analysis or provide to auditors.
