Setting Up Audit Tracking in Sage 100

Did you know starting in Sage 100 2025 you can enable audit tracking for Sales Orders and Purchase Orders?  Sales Order Options and Purchase Order Options now include a “Changes to Track” field and a “Track Additions in Detail” check box. You can keep an audit trail of changes, deletions, and additions.

Firstly, we need to make sure the audit tracking is turned on. The steps for Sales Order and Purchase Order are the same.

Sales Order

  • Sales Order > Setup > Sales Order Options

  • Under Tab 7 History check the settings for Sales Order Audit

Note: Tracking in detail means seeing what the old value was, what the new value is, who changed it as an idea.

Purchase Order

  • Purchase Order > Setup > Purchase Order Options

  • Under Tab 7 History check the settings for Purchase Order Audit

Now let’s see what it looks like in a Sales Order.

  • Sales Order > Main > Sales Order Entry

  • You can make changes now. Once changes are made, click accept.

  • In Sales Order Entry and Purchase Order Entry, use the new Audit Viewer button to review changes in the Audit Activity window.
    • Users must have permission to access the audit report for the module in Role Maintenance.

  • You will then see the Audit Activity pop screen.

You also have the ability to view all the changes that have been made.

  • Sales Order > Reports > Sales Order Audit Report

  • Preview

Sales Order Audit Report

  • The audit report includes a Purge button that opens the new Purge Audit Report utility. This utility is also available from the Utilities menu in each module.
    • Users must have permission to ‘Purge’ the Audit reports in Role Maintenance.
    • The purge utility defaults to 5 years in the past, but you are able to decide what data to purge.

  • A message will pop up asking if you want to purge records. Click Yes.

Note: You can also find this report under Utilities.

Sales Order> Utilities > Purge Sales Order Audit Report

Note: We would advise purging the reports occasionally.

By taking advantage of the audit tracking features introduced in Sage 100 2025, you can keep a comprehensive record of Sales Order and Purchase Order activity, including additions, modifications, and deletions.
